Examination of occupational safety documentation

Comparison of instructions, logs, work permits and process documents with the content of specific work.

When it is needed

When it is necessary to understand whether significant hazards are described, documents agree with each other and a finding on safe work organisation has a sound basis.

What we examine

  • Occupational safety instructions and internal regulations.
  • Logs, training programmes and knowledge assessment documents.
  • Work permits, process sheets and lists of measures for a specific operation.

Materials to prepare

  • Complete documents with appendices and approval details.
  • Information about each document's versions and effective dates.
  • Description of the actual process and equipment used.
  • Questions posed and materials containing disputed findings.

Sample questions

  • Does the instruction provided describe the hazardous factors of the operation considered?
  • Are the instruction's requirements consistent with the equipment's technical documentation?
  • Do the documents contain unambiguous instructions for preparing and completing this work?
  • Which significant elements of the work procedure are absent from the materials provided?
  • Do the documents substantiate the particular stage of worker preparation specified in the question?

How the work is carried out

  1. We will compile a document register with their effective periods.
  2. We will check links between requirements, the process and recorded measures.
  3. We will show specific gaps and contradictions with document references.

Result

An analytical document listing the materials examined, substantive observations and answers to the agreed questions.

What affects the conclusions

A log entry does not itself show the quality of a training session. Signature authenticity and document age belong to other examinations.

Frequently asked questions

Are photographs of several pages sufficient?

For initial familiarisation, yes. Substantive findings normally require the entire document with appendices and information about its version.

Does this mean preparing new instructions?

The service examines documents provided. Developing new documentation is not automatically part of this brief.

Let’s discuss your task
